Follow-up workflow
A job application follow-up tracker that shows the next move
A follow-up system should reduce uncertainty, not create a second inbox. Give active applications one specific next action and review only the dates that matter.

A useful next-action date has a verb attached: send a concise follow-up, prepare three project examples, confirm the video link, or decide whether to accept. Record the action in Notes and the date in Next action.
For a routine online application, a follow-up after roughly one to two weeks may be reasonable when the posting or recruiter provides no different timeline. A promised employer response date should always take priority.
Keep the message connected to context
Before contacting someone, check the source, job URL, last conversation, and resume version. Refer to the role specifically and give the recipient an easy reason to respond. Repeated generic messages rarely improve the process.
Use the sample CSV to see how next-action and notes columns can move from a spreadsheet into the board.
Put interviews on the calendar
- Edit the application and add Interview time.
- Save the card, then choose Calendar.
- Open the downloaded
.icsfile in your preferred calendar. - Add travel, preparation, or reminder time in the calendar itself.
The tracker exports a one-hour event. Confirm the actual duration and time zone from the employer’s invitation.
